How I Keep My Travel Itineraries Organised

You don’t need to build and share your travel itinerary in Excel — not anymore, anyway. (Although, to be fair, I still use a spreadsheet for the initial planning and budgeting. Old habits die hard!!)

But once the flights are booked and the hotels are confirmed, there’s a much easier way to keep it all organised — using a dedicated travel organiser app.The one I’ve been using for about 12 years is KAYAK, and it’s an absolute life saver!

Why I Use KAYAK to Manage My Travel

I’ve been using KAYAK for years, and the beauty of it is how simple it is. You don’t have to manually enter every booking — just forward your confirmation emails (for flights, hotels, tours, car rentals, you name it) to KAYAK, and it automatically builds a trip for you.

If you add your outbound and inbound flights, KAYAK will automatically figure out your travel dates and destination city, then create a trip covering that timeframe. It’s a smart system that builds your whole itinerary inside those dates.

That said, it’s worth keeping an eye on things — if bookings overlap or don’t quite match up, KAYAK can sometimes get confused and create multiple trips. A quick manual check now and then makes sure everything is in order and accurate.

Within seconds, you’ve got a clean, day-by-day itinerary showing everything in one place — flight times, hotel check-ins, tours, and even confirmation numbers.

It also sends alerts for upcoming events, like check-in reminders or boarding times, and one of my favourite features: flight updates.

When KAYAK Beat the Airline

This happens more than you might think....

I was sitting at the gate, waiting to board a Qantas flight, when I got a notification from KAYAK saying my flight was delayed 30 minutes. But there’d been no announcement from the airline. I waited about ten minutes, just to see what would happen, and eventually went up to the desk to ask.

The staff checked and said, “No, everything’s on time.”

Five minutes later — you guessed it — they announced the delay.

KAYAK has alerted me to delays and gate changes before the airlines themselves. Those few minutes of notice can make a big difference when you’re hustling through an unfamiliar airport (or need a last second toilet stop or you see a yummy cake you must have).

Sharing Your Trip

Another great feature is the ability to share your itinerary with others. You can send a link so friends or family can view your trip online — they’ll see your flights, hotels, and plans, all neatly organised.

It’s a simple way to keep everyone in the loop, especially for family back home. They’ll know where you are (and when you’re due back ), which is helpful in case of an emergency or to ensure they are at arrivals to drive you home  — and honestly, it’s great for their peace of mind too.

Handy Features That Make Travel Easier

KAYAK isn’t just a list of bookings — it’s full of small details that make travel simpler:

  • Tap your hotel reservation to get directions, the phone number, and even a little card in the local language to show your taxi driver.
  • Your flights are all in one place, complete with terminal and gate info.
  • You can print your itinerary as a PDF or share a live link with friends and family — perfect if someone needs to know where you’ll be (or just wants to follow along).
  • It even works offline once your trip is loaded, so you can check details without burning data overseas.

They’re all good, but I’ve stuck with KAYAK because it’s free, reliable, and does exactly what I need it to.
